HALL AGREEMENT
MISSION STATEMENT
Our Lady of Mercy Hall is owned and operated by Our Lady of Mercy Parish in Carrollton, Ohio. The primary purpose of OLM Hall is to provide a multi-purpose facility for the use and benefit of the parish community and its members. In addition it is hoped that OLM Hall can also be of benefit to other individuals and groups within the local community. The Hall is made available to individuals and groups not directly associated with Our Lady of Mercy Parish to the extent that the date and time requested do not conflict with regularly scheduled parish activities.
Our Lady of Mercy Parish was established in order to provide a Roman Catholic presence within the local community. As such the parish is committed to providing a Christian witness and example in all of its activities. Therefore we reserve the right to refuse rental to or prohibit activities which would be contrary to the teachings of the Roman Catholic Church, Christian moral principles or basic Gospel values. In addition it is assumed that any group or individual renting OLM Hall will abide by all federal, state and local laws.
Any individual or group wishing to make use of the facility will be subject to a rental fee based on the rental schedule approved by the Pastoral Council of the parish.
ALCOHOL, SMOKING AND DRUG USE - The serving of any alcoholic beverages, and drug use is prohibited in the hall or the church property. Smoking is permitted outside the hall only.
RENTAL
1) All requests for rental are on a first serve basis. Preference will always be given to members of Our Lady of Mercy Parish. However, previous contractual agreements with a deposit must be honored.
2) No rental will be considered confirmed until a signed contract and a non-refundable deposit have been received.
3) All rental fees are established by the Pastoral Council and reviewed on an annual basis. The Schedule of Fees is attached and will be followed accordingly.
4) All rental fees must be paid in full within twenty-four hours prior to the scheduled event.
5) Contracts for extended rentals will be negotiated by the pastor and/or Hall Board and approved by the Pastoral Council.
KITCHEN FACILITY
1) Use of the kitchen is $75.00
2) The table and counters can be used for setting out and preparing food as well as the refrigerator for storing food.
3) The ovens and stove burners are available.
4) There is no use or rental of OLM table service and utensils or coffee pots, roasters and other equipment.
5) All food should be prepared before it is brought in.
PARKING
1) Parking is available on church property though it is limited.
2) Permission is given by St. John Villa to use their parking area near their buildings and across from the Villa Restaurant.
3) If hall rental is on Saturday evening, be aware that OLM parish has a church service from 4:30 to 5:30 PM.
SET-UP
1) The Hall will be clean and in good condition when you arrive. OLM Hall accommodates 200 (state fire ordinance). Fire extinguishers are marked and exit route map is posted.
2) The use of the Hall includes chairs and tables.
3) The hall custodian will set up the tables and chairs. Once this is done, there is no complete rearrangement (minor adjustments allowed).
4) No decorations are to be attached (tape or thumb tacks) to walls. Only table and floor decorations are permitted.
5) A key is not necessary for entrance to the hall as long as it’s known when you will be present.
6) Do not adjust the room temperatures.
CLEAN-UP
1) All evening functions must end no later than 11:00 PM. The hall custodian will come to the Hall about 10:30 PM. If your event will end earlier, please let the custodian know so that he can be present.
2) All trash must be removed from tables and the floor and placed in plastic bags.
3) Bags are placed outside in the trash container located to the left of the hall.
4) Tables and chairs are not to be taken up by renters.
5) Check that no personal items are left behind. If some personal items will be left behind and gotten later in the week, kindly let the custodian know.
6) It is assumed that the renter will be responsible to insure that the Hall is left in good condition. The Damage Deposit will be returned if custodian and/or Hall Manager determines that the terms of the contract are met.
DAMAGES TO PROPERTY
The individual or group renting Our Lady of Mercy Hall is responsible for any personal injury, for any damage to the building, equipment, or property of Our Lady of Mercy Hall or any other property loss or damages which occur during the rental of the facilities. In the event of damages occurring, the pastor, Hall Manager and/or janitor shall be notified and will assess the extent of damages and arrange for needed repairs to be performed. A bill for the cost of correcting any damages will be submitted to the individual or group renting the facilities.
ACCESS TO HALL
The Hall will be accessible to the pastor, Hall Manager and janitor at all times during any
rental activity.

SCHEDULE OF FEES
MAJOR FUNCTION
1) $300 for non-parishioners; $150 for parishioners.
2) Five hours use; three hours for set-up
3) $75.00 custodial fee
MINOR FUNCTION
(Generally, a “minor function” would be around 50 people and used 2 to 4 hours)
1) $150 for non-parishioners; $50 for parishioners
2) $50 custodial
CUSTODIAL FEES less than 50 people $25.00
CONSECUTIVE DAYS ~ rates will be prorated for Major events $300+ $50 per day after
rates will be prorated for Minor events $150+$50 per day after
CHARITABLE USE
Use of hall by charitable groups and other groups is left to the discretion of the pastor and pastoral council. A donation may be asked for rather than requiring a set fee or the hall may be let used free of charge.
DEPOSIT
A non-refundable reservation deposit of $50 is to be paid upon signing the lease.
DAMAGE DEPOSIT
A refundable breakage deposit of $200 is due two (2) weeks before the event. If there is no damage, this deposit will be returned within a week following the event.
* PARISHIONERS
The term “parishioner” is defined: REGISTERED, census information is on file in parish office; ACTIVE, individual and/or family regularly attends the weekend liturgy (Mass);
SUPPORTS THE CHURCH, use envelopes and/or contributes to the Diocesan/Parish Share Campaign.
Rental by a parishioner assumes that the Hall is to be used by them and for their benefit. Simply renting the Hall in a parishioner’s name for someone else is a misuse of the reduction in fees given to parishioners.
It is assumed that parishioners will ensure that the Hall is left in an acceptable condition afterwards.
